Job Description:
The Talent Coordinator is a shared talent management resource providing logistical, operational, and administrative support to aid in the inclusion, development, and retention of our team members. This role supports the VP of Talent, Director of Talent and Development, the Sr Manager of Learning and Development, and the Inclusion Diversity & Equity Manager. The Talent Coordinator ensures the administrative aspects of department initiatives are managed effectively. This includes material ordering and shipping, invoice management in Workday, maintaining rosters, and providing general administrative support. This work is completed for performance management, development programs, and our Employee Resource Groups. This is a hybrid role based in our Elmhurst, IL headquarters or nearby locations up to 3 days a week.

Key Job Responsibilities
- Support the management of departmental work to include maintenance of rosters, attendance records, results of tests and assessments, and reinforcement materials
- Manage the talent calendar and collaborate with other departments to proactively schedule initiatives at optimal times
- Coordinate and support the tasks associated with preparing and setting up a training program. This may include the ordering of supplies, tracking of materials, and room preparation.
- Maintain team documents and all vendor contracts, invoices, licenses, renewals, and department reporting
- Work closely with the ID&E team to create and manage the flow of regularly scheduled campaigns and communications
- Assist with maintaining ERG enrollment records, distribution lists, and communication materials
- Travel to training locations to drop off and prepare for training programs and be available on-site for program support
- Follow up with operational leaders to ensure timely completion of learning initiatives and talent tasks
- Contribute to other HR and organization-wide projects as appropriate
Education and/or Experience Required
- 2 years related experience in an administrative or support role
Required Skills/Abilities
- Strong organizational and planning skills
- Efficiently execute multiple initiatives and tasks in a fast paced environment
- Strong written and verbal communication skills
- Self-starter, ability to quickly organize materials, prioritize and coordinate tasks
- Ability to work effectively in a remote/hybrid team environment
- Expertise with Google Suite or Microsoft office preferred (Mail, Calendar, Sheets, Documents, Presentation, etc.)
- Proficient in administrative tasks, such as scheduling, record-keeping, and data entry
Other Requirements
- Ability to travel within Chicago suburbs and downtown locations several days a week that may not be accessible by public transportation
- This position requires the ability to lift and carry objects weighing up to 50 pounds. Employees in this role must also be capable of standing, walking, bending, and reaching during the course of their duties.
